1. Who are we?
Petvisor is a company registered in the United States (“Petvisor” / “we” / “our”). When we refer to ourselves as “we” or “Petvisor,” we mean our entire company, including our subsidiaries and affiliates, and our brands, including Vetstoria, Groomer.io, and PetDesk.
“You” and “your” refer to you collectively, whether you are a company that has subscribed to or purchased our Products (as defined below) on behalf of its veterinary clinics. A veterinary clinic that has subscribed to or uses our Products, a customer of a veterinary clinic, or you choose to browse or interact with our Websites (as defined below). This Privacy Policy provides an overview of the personal data we process on your behalf. If you are a customer of a veterinary clinic using our Products, you should be aware that your veterinary clinic has permitted us to process some of your data to provide Products to you and the veterinary clinic, and you should consult the veterinary clinic privacy policy for further details as to what data it collects and for what purposes.
Residents of certain states in the U.S.A., including California, provide additional rights and information for the processing of personal data. The State Supplement below applies to you concerning our processing of your data.
The EU and UK Supplement below applies to European Union (EU) or the United Kingdom (UK) residents regarding our processing of such persons’ personal data.
The Australian Supplement below applies to residents of Australia concerning our processing of any of such person’s personal data.
2. Defined Terms of Use
Capitalised terms used herein that are not otherwise defined shall have the meanings ascribed to them in the Terms of Use.
3. What is this Privacy Policy for?
Wherever you are located, this Privacy Policy aims to advise all users and visitors of and to the Petvisor and its affiliates’ websites, including www.petvisor.com, www.petdesk.com, www.vetstoria.com, get.groomer.io and all associated sites linked to them, (collectively, the “Websites”), and all subscribers, users and customers of our products, including our online booking software, phone services, website management services and pre-appointment questionnaire, and any other products of ours which are used, purchased or subscribed to from time to time (together, the “Products”) on how we collect, protect, and process the information that is made available, collected or supplied to us, and in particular, personal data. We request that you read this Privacy Policy, and only if you are satisfied with it and accept the terms should you continue to use the applicable Website(s) or our Products (as appropriate). If you are dissatisfied with it or do not accept any of the terms below, you have a choice not to use the Websites or our Products.
4. Updates to this Privacy Policy
The Privacy Policy may change occasionally; details of any such changes shall be posted on the Websites. You are responsible for checking the Privacy Policy when you visit any Website and/or each time you use our Products. By using any website and/or our Products, you accept that you are bound by the Privacy Policy in force at that time and displayed on this page.
5. What Information Does Petvisor Collect?
i. All users: Users of the Websites can access the Websites’ homepage and browse some areas of the Websites without disclosing any personal data. We might track information provided by your browser, including any website you came from, the type of browser you use, browser version, plugins installed, the time and date of access, and other information that does not personally identify you. In addition, we might gather information about you that is automatically collected by our web server, internet protocol address, connection information, operating system and platform, operating system version, device information, unique reference number linked to the data entered on the system, cookie number, and activity on the Websites including the pages you visit and searches you may have made (collectively all of the foregoing being known as “User Data”). This data will be collected when you interact with our Websites and affiliate products, including, but not limited to, when making an appointment.
ii. If you are a veterinary clinic customer: If you are a veterinary clinic customer accessing or using our Products, we collect specific personal data from you on behalf of your veterinary clinic. This personal data includes your first name, last name, age, birthdate, email address(es), phone number(es), residential address(es), country, geolocation data, internet protocol address, unique ID(s), mobile device ID(s), username, password, call history (Outbound, inbound, missed, and returned), call recordings, appointment history (Upcoming appointments and last appointment, previous appointments), and consent for marketing campaigns by the clinic. Additionally, we gather information about your pet collected on behalf of the clinic through our platforms, including pet name, species, breed, sex, age, insurance, microchip number, appointments, vaccines, Rabies tag, and medical history. We might also collect your financial payment information using a third-party payment processor to process your payment to the clinic, including your credit card number, expiration date, and CVV number. We will collect any other personal data that you provide to us about you when using such Products (including, but not limited to, when making an appointment or using any Vetstoria Chat feature (such as any personal data comprised in any Inputs submitted when using such feature)), and always based on our instructions from the veterinary clinic (all of the foregoing being “Customer Data”). Your veterinary clinic may also provide the Customer Data directly to us based on the records that it already holds about you.
iii. If you are a veterinary clinic: If you are a company that owns or controls veterinary clinics or a veterinary clinic that, in either case, enters into an agreement with us for use or access to our Products, we will collect specific personal data from you to provide such Product(s) to you, your affiliates and your customers. This includes a contact name, address, e-mail address, telephone number, and any other personal data you provide or make available to us (“Clinic Data”).
iv. Information from outside sources: We may also obtain information from third parties. For instance, if you are a veterinary clinic, we may collect information about you from other sources to verify your licensure status and identity; where necessary (for example, to process an order for a purchase), this information may sometimes be personal data.
v. Any information that you voluntarily provide to us: We may process information that you voluntarily provide or make available to us, including but not limited to through responses to surveys, search functions, questionnaires, feedback, contact us forms, and the like, or if you make a payment to us or if you apply to work for us/ask to work for us through a recruitment advert or similar (e.g., by submitting your CV). Some of this information may be personal data, such as national change of address information.
We do not collect any special categories of personal data about you through our Websites and/or our Products (for example, details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offenses. The only time we would ever collect such unique category data is if you choose to submit such information to us through any job application process, in which case, in doing so, you confirm you have explicitly consented to the same.
6. Legal Basis for which Petvisor will use your Personal Data
Petvisor relies on the legitimate interests processing ground to collect or process the information described above except for (a) certain information in paragraphs 5(II) and 5(III), which will be collected and processed on the grounds of contractual necessity (i.e., we need such information to enter into a contract with you); and (b) certain information in paragraphs 5(I) and 5(v) which will be collected and processed on the grounds of consent. In some cases and where applicable, Customer Data processed by us will be in the capacity of a data processor, in which case, processing of your data will be subject to whatever processing ground your veterinary clinic or person to whom you provided your data is relying on to process such personal data. Please see the applicable privacy policy for details in this case.
We must collect and process the information and personal data as described above for the following legitimate interests : (i) to improve the functionality of the Websites, the Product, and the efficiency of the software processes, to perform internal analytics and improve our service and product offerings, and to ensure that the Websites and the related processes and service and product offerings run as smoothly as possible; (ii) to provide the Products and related services to companies, clinics and customers, the applicable survey/questionnaire, and so forth; and (iii) for fraud and security purposes. In each case, the personal data collected and processed items are limited and not of a nature whereby your rights and freedoms as a data subject are outweighed by such data collection.
7. Use of Cookies and Web Beacons
Petvisor, like many websites and/or products, may use cookies from time to time. A cookie is a small amount of information sent to a person’s browser from a web server and stored on that computer’s hard drive so that the websites can remember who they are. A cookie will typically contain the name of the domain from which the cookie has been sent, the lifetime of the cookie, and a unique value number. Cookies cannot read your hard drive. You may refuse to accept browser cookies by activating the appropriate settings on your browser. However, if you select this setting, you may be unable to access certain parts of our Websites. Unless you have adjusted your browser setting to refuse cookies or selected the applicable opt-out on the cookie notice displayed when you first visit the applicable Website, our system will issue cookies when you direct your browser to our Websites. Where permitted by applicable law, pages of our Websites may contain small electronic files known as web beacons (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit us, for example, to count users who have visited those pages or opened an email and for other related website statistics (for example, recording the popularity of certain website content and verifying system and server integrity).
We do not automatically collect personal data, but we may link non-personal data collected automatically to personal information about you that we collect from other sources or that you provide to us.
8. Advertising and Retargeting Tools
We use third-party advertising platforms, including Google Ads, Facebook Ads, and similar services, to deliver targeted advertisements based on your and your user’s interests and online behavior, which you have consented to. Where you have not consented, you will still be served advertisements, but they will not be targeted specifically. Any targeted services may use cookies, web beacons, or similar technologies to collect information about your activity on our Websites and other sites to provide personalized ads and when you interact with and use the Products. This information may include, but is not limited to, your browsing behavior, IP address, device information, and location data. You can manage your preferences for targeted advertising by adjusting your browser settings, visiting the advertising platform’s opt-out pages (e.g., Google Ad Settings or Facebook Ad Preferences), or contacting us directly, including via the applicable cookie consent banner on the relevant Website. In addition, you may also visit the Network Advertising Initiative (“NAI”) on the NAI’s website: https://thenai.org/opt-out/ to find out additional information on how to opt out of receiving targeted ads. Along with many other internet sites, we may use third-party advertisers to fill advertising space on the Websites. These third parties may use cookies and similar technologies to assess your information. We have no access to or control over third-party activity, which this Privacy Policy does not cover. Third-party products, promotions, and services may be offered on or via the Websites and Products through links or QR codes. All links and sites for or to third-party offerings are provided and supported by third parties not affiliated with us, and if you decide to access, accept, or click on these links or third-party sites, it is at your own risk. We are not responsible for the privacy policies and practices of other sites or links, including veterinary clinics, even if you access them using links from or through the Websites. You should check the policy of each site or link you click on or visit and contact its owner or operator if you have any concerns or questions, including concerns about your data or your veterinary clinic. In addition, if you link to the Websites from a third-party site or via a social network (e.g., Twitter, Facebook), we are not responsible for the privacy policies and practices of the owners or operators of that third-party site. We strongly recommend that you check the policy of that third-party site and contact its owner or operator if you have any concerns or questions.
9. Purposes for which Petvisor uses Information and Data
In addition to the above, we may use the information made available to us as described above for the following purposes:
i. To provide you with information, products, or services that you request from us;
ii. To carry out our obligations and enforce our rights arising from any contracts entered into between us and you or the clinic or its affiliates, as applicable, including for billing and collection;
iii. To allow you to participate in interactive features on our Websites or Products;
iv. To notify you about changes to the Websites or any Products or services we offer or provide through it;
v. To provide you with notices about your account or subscription, including expiration and renewal notices;
vi. For any other purpose with your consent or to fulfill any other purpose for which you provide it;
vii. With regard to cookies and other non-identifying information, to recognize you when you visit or return to the Websites, track anonymized traffic, demographic and usage patterns, to prevent or detect fraud or abuses, internal analytics, and help to improve the Products and Websites;
viii. To provide the Products and services to and for veterinary clinics and their customers, including facilitating appointments with veterinary clinics and sending reminders of such appointments. We may also use data, including personal data, to provide you with adverts or other commercial messages and promotions that we believe may be of interest to you, but if you are a veterinary clinic customer, then only where your veterinary clinic confirms that we are entitled to do so in accordance with applicable data protection and direct marketing legislation (which in certain circumstances will require your consent) or where you have directly consented yourself. You may opt out of this use of your personal data at any time by contacting your veterinary clinic;
ix. With regard to Veterinary Clinic Data, to provide and license the Products to any subscriber or purchaser and its customers and
x. In any other way, we may describe when you provide the information.
We will only use your data for the purposes for which we collected or processed it, as explained above or as otherwise set out in this Privacy Policy or our cookie policies unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to process your personal data for an unrelated purpose, we will notify you and explain the legal basis for doing so.
Please note that we may process your data without your knowledge or consent in compliance with the above rules where this is required or permitted by law.
10. Security, Data Storage and International Transfers, Retention, and Data Breach Management
i. Security: We take personal data protection (including Customer Data, veterinary Clinic Data, and all other personal data we collect as described in this Privacy Policy) very seriously. We take precautions to protect personal data from loss, misuse, unauthorized access or disclosure, alteration, or destruction. We maintain stringent safeguards in connection with the collection, storage, and disclosure of personal data. Further information about our security practices is available on request.
ii. Storage and International Transfers: We store personal data on a regional basis, i.e., if you are based in the EEA or UK, then it is stored in the EEA; if you are based in the U.S. then it is stored in the U.S.; and if you are based in the Asia Pacific region then it is stored in the Asia Pacific region. If you are based outside of these three regions, it is stored in one of the above regions to comply with local data protection regulations if and where applicable. Where we transfer and/or store personal data outside the United States, we strive to implement a similar degree of protection to such personal data by requiring at least one of the following safeguards be implemented:
iii.
- For UK and EU data subjects, only transferring such personal data to countries that have been determined to provide an adequate level of data protection, as recognized by the European Commission for transfers out of the European Economic Area (EEA) or the UK Government for transfers out of the United Kingdom or pursuant to agreements or commitments as approved by such legislations (e.g., Standard contractual clauses or the EU-US Data Privacy Framework when transferring personal data from the EU to the US).
- For our U.S.-based operations, we comply with applicable federal and state data protection and privacy laws, including but not limited to the California Consumer Privacy Act (CCPA) if applicable.
- When engaging with certain service providers for the processing of personal data, we utilize contracts approved explicitly for use by the applicable jurisdiction from where that personal data was sourced, for example, persons who reside in the EEA region, the contracts approved by the European Commission (for transfers originating from the EEA) or the UK Government (for transfers originating from the UK). These contracts aim to provide your data with the same level of protection it would receive within the EEA and/or the UK.
iv. Retention: We will only retain your personal data for as long as necessary to fulfill the purposes we collect. We store personal data for the period for which, if you are a veterinary clinic, you are licensed to use our Products or, if you are a customer, the period for which your veterinary clinic is licensed to use our Products. Following the expiry of such a right, the personal data is anonymized. It may take up to three months following the expiry of such a right to fully anonymize personal data. In connection with any data where we are a data controller (Veterinary Clinic Data), we may, even after the expiry of the license, retain such data for regulatory, record, and internal analysis purposes per applicable law.
v. Data Breach Management: In the event of a data breach, Petvisor will take all necessary steps to minimize the impact of the breach to the extent it is under Petvisor’s control, inform you regarding any known impact on you, and make all reasonable efforts to comply with all applicable legal and regulatory requirements, including reporting.
11. Product Support Ticket Archival
In all cases, we may archive resolved support tickets that contain personal data with access restrictions and data minimization for historical research.
12. Use of AI (Artificial Intelligence) Tools and Applications
We are committed to responsible, transparent, and ethical use of AI in our products, including generative AI within the organization. We also use open-source libraries and trusted AI service vendors to provide AI capabilities in our marketed products. We will collect and use personal data only when necessary, with commercially reasonable safeguards, and in compliance with industry-standard accepted AI security practices. We prioritize user privacy, security, and fairness in all our AI endeavors and are committed to protecting your privacy and ensuring that your data is used responsibly and ethically. We will be transparent about how we use AI and provide you with control over your data. We will also make efforts where it is under our control to make our AI systems fair and unbiased.
13. The Company may transfer Personal Data to Third Parties as follows:
i. Aggregate: We may anonymize the personal data we collect or process and aggregate it without any individually identifying information and share or use it with third parties. Aggregate information is obtained from the collection of many individual records, with data that could be used to identify an individual removed before it is used as aggregated data. Any third party that receives aggregated data from us must agree not to attempt to re-identify the persons to whom it belongs.
ii. Your veterinary clinic: If you are a customer of a veterinary clinic, we will provide the Customer Data and any other information that you make available in connection with the veterinary clinic with which you are registered to process such data regarding our Products and services. In this case, we act as a data processor in connection with your data, relying on your veterinary clinic to have appropriate grounds to instruct us to collect such data.
iii. Practice Management System (PMS) Partners: A PMS is a system commissioned by veterinary clinics to help manage day-to-day hospital operations. When we share information with such veterinary clinics, as indicated above, it is usually done via technical integration, which we share with the PMS or related partners.
iv. Our group entities: We share your data with members of our group (meaning our affiliates and subsidiaries) to provide, maintain, and support our Products and services.
v. Our service providers: We contract with other companies and individuals to help us provide, maintain, and support our Products and services and operate our business. Using such third-party providers’ infrastructure means storing and processing information on hardware and/or services owned, controlled, or licensed by them. All the information, including personal data we process as described in the Privacy Policy, will be made available to, accessible to, or provided to such service providers for these purposes. Some third-party providers may transfer your data outside the USA, UK, EU, or Australia. A list of infrastructure and other third-party providers that we use include:

vi. Third parties for marketing purposes: If your veterinary clinic has appointed us as a third-party marketing service provider, we may disclose the Customer Data and other personal data you make available to your veterinary clinic or us to third parties with whom we are running promotional offers and marketing campaigns, including third parties who are responsible for coordinating such promotional offers and marketing campaigns for them, only on the instructions of your veterinary clinic and where your veterinary clinic has confirmed to us that we are permitted to do so in accordance with applicable data protection and direct marketing legislation (which in certain circumstances will require your consent). You may opt out of this use of your Customer Data and other personal data at any time by contacting your veterinary clinic directly.
vii. Business transfers or combinations: In the case of an actual or proposed sale merger or business combination involving all or the relevant part of our business, assets, or voting securities, or in the case of insolvency or reorganization, we may disclose all of the information that we process and collect as described in the Privacy Policy to the extent necessary in our reasonable judgment. This information may include your data. Any such disclosure of your data will be subject to standard non-disclosure restrictions.
viii. Legal: We may disclose information we process or collect as described in this Privacy Policy to third parties to enforce our rights, protect the public, or if required by law or regulation or requested by any legal or regulatory authority or law enforcement agency. Again, this information may include your personal data.
Other than described in this Privacy Policy, we will not release any personal data we process or collect to a third party without your consent.
14. You Have the Right to
(i) access a copy of your personal data that we have collected and retained from you as described above; (ii) rectify any incorrect or incomplete items of such personal data; (iii) have your personal data anonymized in certain circumstances; (iv) restrict processing of your data by us in certain circumstances; (iv) object to our processing of such items of your data (if we do not require such personal data for legitimate business purposes or other legal reasons); and/or (v) in certain circumstances, request to receive a copy of your data that we have retained in a commonly used electronic format. You can carry out any of these actions from time to time by contacting dpo@petvisor.com. Please note that if you are a veterinary clinic customer and wish to exercise any of the foregoing rights to your customer data, which is personal data, such rights must be exercised by contacting your veterinary clinic first. We will use reasonable efforts to cooperate with the veterinary clinic if any such request is made.
If you request to access your personal data retained by us in connection with this Privacy Policy, you will not have to pay a fee to access your data (or to exercise any of the other rights described hereunder). However, we may charge a reasonable fee if your request is unfounded, repetitive, or excessive. Alternatively, we may refuse to comply with your request in these circumstances. We may need to request specific information from you to help us confirm your identity and ensure your right to access your data (or to exercise any of your other rights), including using a third-party provider to identify you in certain circumstances. This is a security measure to ensure that your data is not disclosed to anyone with no right to receive it. We may also contact you to ask you for further information about your request to speed up our response. We try to respond to all legitimate requests within one calendar month. Occasionally, it may take us longer than one calendar month (always subject to the maximum periods under applicable law, if any) if your request is particularly complex or you have made several requests. In this case, we will notify you and keep you updated.
You have the right to make a complaint or raise any concerns with your local data protection authority directly. However, we encourage you to contact us in the first instance, as we aim to promptly, efficiently, and satisfactorily resolve any concerns or complaints you may have about our processing of your data.
15. How we Operate
For our operations in the US, we adhere to relevant federal and state data protection and privacy laws, including but not limited to the California Consumer Privacy Act (CCPA) if and when applicable. In the UK and EU, we operate per the EU General Data Protection Regulation 2016/679 (GDPR), the retained UK version of the GDPR, and the Data Protection Act 2018. In Australia, we operate under the Privacy Act of 1988 (Compilation No. 97). In Sri Lanka, we operate following the Personal Data Protection Act No. 9 of 2022.
16. Your State Privacy Rights
For the 12 months prior to the date of this Privacy Policy, we have not “sold” (as that term is defined under the California Consumer Privacy Act (“CCPA”)) any of your data.
In addition, California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Montana, Oregon, Tennessee, Texas, Utah, and Virginia provide (now or in the future) their state residents with rights to:
- Confirm whether we process your personal information.
- Access and delete certain personal information of yours.
- Correct inaccuracies in your personal information, taking into account the information’s nature processing purpose (excluding Iowa and Utah).
- Data portability.
- Opt-out of personal data processing for:
- targeted advertising (excluding Iowa);
- sales; or
- profiling in furtherance of decisions that produce legal or similarly significant effects (excluding Iowa and Utah).
- Either limit (opt-out of) or require consent to process sensitive personal data.
- The exact scope of these rights may vary by state. You may also designate an authorized agent to request access on your behalf.
Please note that we are not obligated to respond to more than two access requests for the same individual’s data within 12 months. When you exercise these rights and submit a request to us, we may need to verify your identity. We also may use a third-party verification provider to verify your identity. We will let you know if we need additional information to verify your identity. We will endeavor to respond to a verified request within 45 days unless there are grounds for extending our response timeframe by up to an additional 45 days. In the event of an extension, we will explain to you why the extension is necessary.
In some cases, your ability to access or delete your data will be limited, as required or permitted by applicable law, even when the CCPA or other state laws apply to the personal data we have for you.
